My emails land in spam

Why cold emails from your mailbox land in spam and how to fix it: SPF, DKIM and DMARC, lower daily volume, plain text, no open tracking, clean lists.

Hollerly sends from your own mailbox, so where an email lands depends mostly on your domain's setup and reputation.

1. Check SPF, DKIM and DMARC

On Pro and up, the Deliverability card under your mailbox in Settings scores your sending domain out of 100. It checks MX, SPF, DKIM and DMARC records. Fix anything marked as failing in your domain's DNS settings, then check again. You can also use the free email deliverability checker.

If you send from a personal Gmail or Outlook address, the provider handles authentication, but a work domain delivers better for cold email.

2. Send less

Lower Emails per day on the mailbox card. New mailboxes already start at 15 and then 25 a day. A domain with a poor reputation recovers by sending fewer, better targeted emails.

3. Turn off open tracking

Tracking pixels can hurt deliverability. Leave Track email opens off unless you need "if opened" conditions.

4. Keep emails plain and short

  • Avoid links in the first email, and avoid attachments and images.
  • Keep the signature short and plain.
  • Write like a person. Short, specific emails written for one reader do best.

5. Keep your list clean

Use the email finder's verification and skip invalid addresses. Keep the unsubscribe link on, so people opt out instead of marking you as spam.

6. Consider a separate domain

Many teams send cold email from a second domain that looks like their main one, so their main domain's reputation is protected. Hollerly doesn't sell domains or mailboxes, but works with any you connect.
